General Registration Procedures

A Summary of the Application and Registration Procedure:

Step. 1

Detailed information on courses, syllabi, and researcher information offered at TUMSAT Graduate School can be found here.

Step. 2

Please contact OQEANOUS Plus coordinators at your home university. Then your home university coordinators will inquire which courses are available for your own degree program at TUMSAT.

Step. 3

After you decide your future study plan at TUMSAT, please fill out OQEANOUS Plus Application Form and OQEANOUS Plus Learning Agreement.
* Please leave signature parts blank at this moment.

Be sure to discuss with your advisor about your participation in OQEANOUS Plus Program before you apply. It is especially important, if you are applying to the DDP Program, to make sure that your prospective academic advisor's laboratory is suitable for your research and that his/her laboratory is available. Discussion and cooperation between your home university advisor and host university advisor is essential to the success of your research and thesis/dissertation. If at all possible, before applying, please ask your advisor at your home university to contact your prospective advisor at TUMSAT by email.

Step. 4

All required documents must be sent to TUMSAT by your home university coordinator. Sending by postal mail may be substituted with an email attachment of PDF documents.

After coordination between TUMSAT and your home university, the Learning Agreement must be signed by the student, your advisor and university coordinator authorized to approve the Learning Agreement to ensure full approval of this program on behalf of the responsible academic organization. The original Learning Agreement will be kept on file at the student's home university and host university will retain a copy.

Step. 5

After the on-campus review and approval by TUMSAT, a Letter of Acceptance will be issued. The TUMSAT OQEANOUS Plus Coordinator will postal mail the letter along with a Certificate of Eligibility issued by the Regional Immigration Office in Japan. The Certificate of Eigibility may take two to three months to be issued. Both original documents are required for visa application to enter Japan as a student.
Please apply for the visa on your own as soon as possible after receiving the documents.

Step. 6

Please inform TUMSAT OQEANOUS Plus Coordinator of your date of arrival as soon as you confirmed.

Step. 7

Upon your arrival, please contact TUMSAT OQEANOUS Plus Coordinator for your administrative procedures. Student assistants will also help you with practical matters.

Step. 8

You will get your student ID upon arrival. Be sure to submit your photo along with your application form beforehand to get a student card in a timely manner.

Step. 9

During your study at TUMSAT, there might be a possibility that you want to change your study plan. In such a case, you may be required to fill out OQEANOUS Plus Study Change Form and submit to TUMSAT OQEANOUS Plus Office to change original Learning Agreement. Then, we will send the document directly to your home university for their approval. In order to issue your Transcript of Records correctly in a timely manner, appropriate changes to Learning Agreement are very important. The original copy of your OQEANOUS Plus Study Change Form will be kept at your home university.

Step. 10

Please inform the TUMSAT OQEANOUS Plus coordinator as soon as your return date is determined.

Step. 11

At the end of semester, an official copy of OQEANOUS Plus Program Completion Report and a certificate of completion will be issued and sent to International Office at your home university for IJP program participants.

You may be asked to write about your study abroad experience, submit photos, or speak about your experience at study abroad information sessions etc. Please take many photos during your study abroad to show your studies and research, as you will need them later.

*Living expenses such as food, shopping, student insurance at study abroad destination, phone bill, WIFI and SIM cards, books including textbooks, medical expenses, transportation to and from the airport, and visa application fee are to be paid by the student. Students may be responsible for common expenses for student dormitories, utilities, etc., depending on the university.
